Added more help articles and walkthroughs to our help area for our most frequently asked questions.

Improved your printable Invoices so that they display in multi-page format (we’ll be writing a detailed blog post about this to follow very soon!);

Added total tax taken on orders and total tax paid on expenses to your cashflow reports;

Started work on supporting “Draft” listings for the Etsy Importer as the Etsy API is now starting to support this listing type, hopefully this will be available shortly if all goes to plan;

Added more automated tests for the orders and manufactures processes to make the site more robust;

Added the Etsy transaction fee to our Pricing Guidance feature so it more accurately represents your total margin.

This week we released:

Added popup notes to the order and expenses lists, so you can view your notes straight from your overview pages.

Linked order expenses now automatically populates the selected shop, to save you one extra step;

Improvements to the Invoice printable view so that headers are much more legible;

Refined the Material Export csv so that all quantity fields are separate, including price and stock on hand quantities - this should make the export far more flexible when importing into a spreadsheet program;

Some subscription tweaks to improve the messages returned from our payment provider;

Fixed the shortcut links on the Manufacture / Sales Count summary so they link to the correct tab page for faster navigation;

Added a new flag to the Link Project autocomplete to show if a new project is being created, or if an existing project is being linked;

Fixed the Component Material view so that labour is being factored into the total manufacture total;

Added a “resync” feature for Orders to quickly update a single order’s status without needing to do a full Etsy import;

Performance tweaks to the Etsy importer to make it a little bit faster and

Added a handful of new help articles to address some of our commonly asked questions this month.

Keep those suggestions and ideas coming in - many of the above tasks were originally raised by our userbase, so we are definitely hearing you and responding to your feedback! :)

Improved Expense Tracking!

We’ve been hard at work making improvements to our expenses features based on your feedback: this week we released a hugely improved Expenses area of Craftybase that allows you to log multiple purchases from the same vendor in the same screen. Much like the way our newly improved Orders area works, you can now create a single Expense record and instantly assign as many different expenses to it as you like.

All expense categories can be added to Craftybase in this way - postage, material purchases, travel, tools & equipment and more. Based on the expense category you select, you can link each expense with a project, order or material from the one screen.

Shipping, discounts and tax can also now be assigned to an Expense, and Craftybase will automatically proportion these amounts to each item in your expense for use in your manufacture and project cost tallies.

We’ve just released a new feature this week that does this very thing!

We’ve called this “Component Projects” - a project now has a type of either Product or Component which now determines what the project now makes when you create a manufacture log for it.

A Product project works exactly the same as projects have always worked: when you create a manufacture of a Project, it increases your stock of your items for sale and decreases the quantities in your batch recipe. A Component project now does something slightly different - it creates a Component material and adds stock to this instead. This component material can then be added to other projects, so you now can essentially create materials that are made from other materials.

Not exactly following? That’s completely understandable! It’s again a concept that is best explained with an example:

Lets use making a cake as the example - some cake recipes involve an ingredient called “Buttercream” which is in turn made from Butter and Sugar in appropriate quantities. Most bakers tend to make batches of this ahead of time for use on multiple cakes.

Before Craftybase had component projects, to add Buttercream as a material ingredient would have been problematic - I could do one of two things:

a) ignore the fact that I make a batch of buttercream before I make the cake and add the exact amounts of butter and sugar the buttercream contained. This is not great as it doesn’t account for the time I originally spent in creating the buttercream unless I specifically remember to factor in this time as part of the product labour cost.

OR

b) Create a material called “Buttercream” and assign a rough price to this material that equals the amount of materials and labour that has gone into producing this item - also not a great option as I can’t track how much butter and sugar went into creating this so my inventory on these two materials will always be slightly out. From a Craftybase perspective, this material just “appears” and then “disappears” in the system every time it is used leaving really no trace or accurate logs which is also not great.

Now that we have Component Projects, the new process is as follows:

Create a Component Project called “Buttercream” - this project will be used to create new batches of a material also called “Buttercream” that contains a batch recipe with the exact amounts of butter and sugar required.

When I make a batch of Buttercream, my ingredient materials will be decreased correctly and my in stock quantities of Buttercream increase. I can also put labour against this task so that this cost is not lost.

When I create a product (e.g. Birthday Cake) I add this Component Material as part of the batch recipe - this automatically knows how much time has been spent in creating the material and will proportion a labour amount to the product project to account for the time making the batch of Buttercream ahead of time.

This can be used for any situation in which you create a batch of a new material from other materials that is subsequently used in creating your products - for jewelry makers this could be making a batch of clasps or jump rings, and for soap makers it could be creating a fragrance oil that is used in more than one product. It should be a very powerful tool that will allow you to be even more accurate in your inventory tracking going forward - we hope you like it!

Automatically calculate your PayPal fees on Etsy Orders!

We’ve just released an awesome new feature: automatic PayPal fee estimates for all US Etsy Orders. This means that when you next import your Etsy sales, Craftybase will calculate your estimated PayPal fee for you and add it as an automatic expense, along with the exact date of payment and transaction details so you can easily cross reference this with your PayPal records.

We’ve made PayPal rates completely configurable to allow for users on different pricing tiers - you’ll now find a new settings area called “Payment Services” to allow you to modify your transaction and percentage rates to suit your own business setup for both domestic and international orders. On this same page, you’ll find a link to a special PayPal Historical Updater page you can use to add PayPal fees for all your orders already in Craftybase - just follow the instructions and we’ll do the rest!

As the PayPal fee structure is much simpler in the United States, we have rolled out this feature to Craftybasers in the US first. We will be adding PayPal fee support for more countries, and also for non-Etsy orders in the very near future - watch this space! :)

Our Etsy Pricing Calculator now supports Direct Checkout fees!

Just a note to let you know that our popular Etsy Pricing Calculator now calculates your PayPal AND Direct Checkout fees!

Etsy Price Calculator

As a bonus, it now works awesomely on a mobile device - try it out!

Introducing Orders

One of our most popular suggestions has been to create a way of adding multiple sales for a single customer all in one step. As a bit of an early Christmas present, we’ve now just released a new feature that does exactly that!

We’ve now removed the Sales section of Craftybase and replaced it with Orders - essentially, you can think of Orders as grouped together Sales. This feature will now allow you to link together multiple sale items into one order, apply discounts, taxes and shipping charges and keep track of what orders have been paid and what orders have been shipped. It now allows us also to start thinking about some interesting features around shipping and tax….but more on that at a later date :)

If you have existing Sales in the system, we have carefully moved these and applied some clever logic to join together and create Orders for you. We’ve also tallied up your combined discount and shipping totals so you don’t have to - everything should be ready and working when you next log in.

This upgrade required quite a bit of a rejig of the internal inner workings of Craftybase, but we think that the end result is a much more flexible and user friendly system for tracking the sales you make - we hope you think so too!

Our entire help area has also been updated for this change: for more information about Orders and the migration steps we have undertaken with your existing data please see our new help article What is an Order?.

New! Pricing Guidance for your products

Today we released Pricing Guidance - this feature is designed to help you with the difficult task of deciding what to charge for your products for all your sales channels. You’ll find a new section on your project pages called “Pricing Guidance” showing your suggested pricing and margins - we’ve preconfigured 4 of the most common ones for you for starters, but you can easily add and remove these over in your settings pages.

So, how does it work? Much like our popular manual Etsy Pricing Calculator, our newly built-in price calculator takes your manufacture cost (automatically provided via your Batch Recipe) and uses your configured Sales Channel Pricing Markup Percentage to calculate a suggested price for each of your Sales Channels. If it sounds technical, it’s not really! To explain it best let’s use an example:

Jane makes a product called a “Star charm bracelet” which she sells both at her market stall on the weekends and also through her Etsy shop.

She creates this as a project in Craftybase and creates a batch recipe to calculate the material costs involved in making the bracelet. She finds that to make 1 bracelet it costs her a total of $17 in materials. She has set her labour rate to $6.50 / hour, and calculates on average it takes her 2 hours to make. This results in a total manufacture cost per bracelet of $17 + $13 = $30.

Jane has already pre-configured her Sales Channel markups in Craftybase to be Etsy as 150%
and Market as 100%, so over on Jane’s “Star charm bracelet” project page, she should now see the following pricing suggestions:

These suggestions will be recalculated with the latest information we have about your project, so If your material costs increase, these suggestions will also increase - so you can always check how close you are to your target suggested retail pricing.

A new help article is here if you would like more information about how this works:

How is the Pricing Guidance calcuated?

We would love to hear what you think of this new feature!

Introducing the Report Centre!

We’ve just rolled out a new area of Craftybase we’re super excited about: The Report Centre!

For starters, we’ve launched 5 brand new reports that you can explore: Customer, Product, Stock, Expenses and Cashflow.

To introduce them in a little more detail:

The Customer Report

The Customer report shows your most valued customers; who spends the most money at your stores and who buys the most products. It should give you a nice little snapshot of your best customers so you can tailor your marketing towards the people who support you the most.
See your Customer Report >

The Product Report

The Product report shows your most popular products and which products turn over the most revenue. This one is useful for identifying which of your products are popular and for identifying trends so you can better plan your manufacturing ahead of the rush. See your Product Report >

Stock Reorder Report

The Stock report is a rollup of what you supplies you are running short on. You can filter this by supplier to create a quick “shopping list” for reference when you are next supply shopping. See your Stock Reorder Report >

Cashflow Report

The Cashflow report allows you to see your cashflow over the years or just the month along with a nice clear rollup of totals. See your Cashflow Report >

Expense Report

Finally, the expense report - this one will give you a breakdown of all your expenses made in a specific time period based on the category you have marked them as. This is handy to see what you are spending the majority on over time. See your Expense Report >

We’re really excited about this and have a few more reports in the pipeline. All reports are optimized to be printable, we’re hoping to have a spreadsheet and PDF export available in the coming months.

We’d love to hear what you think - requests for other reports are welcomed :)

Automatically calculate your manufacturing costs for goods sold!

We released a couple of new little tweaks to Craftybase that should make the task of calculating cost of goods sold (COGS) much less of an ordeal.

We’ve updated the profitability totals section on both your overview and project pages. These totals now give you three interesting ways of seeing your incomings and outgoings for any time period.

Basic Cashflow
Basic cashflow is designed to show all incomings and outgoings for the time period selected, regardless of what the expense was used for, and if it has been “consumed” on a project. This report is handy for keeping an eye on your cashflow at a high level.

Manufacture Cost Report
This will show you how much money you have spent creating your items in the period selected. It doesn’t take into account any sales made in the period, it is strictly for tracking how much you are spending on your manufacturing costs from week to week.

Manufacture Cost for Sales
This option shows you the amount it cost you to produce the items you sold in the time period specified. It is calculated using your manufacture and labour costs for all items sold in the period - this report should be very helpful to those that need to calculate Cost of Goods Sold on a regular basis. To start tracking labour and manufacture costs per sale, you will need to make sure you have Batch Recipes and estimated labour time per batch configured for your projects.

This new help article in our help section explains the new profitability calculations in more detail and also gives you handy links to learn about the concepts mentioned above:

How are the profitability totals calculated?

If you have any questions about how this works, please get in touch and we’ll give you a hand. We’d also love your thoughts and suggestions on how we can make this section even better - so please feel free to send us your feedback.

Discounts now Supported in Craftybase!

We’ve just added the ability for you to track the actual discount amount on each sale you make - you’ll now find a new box on your sales page to enter in the component of the sale you provided as a discount.

Etsy sellers will find that all sales will now import the discount amount automatically - along with the actual coupon code that your customer used. We also now automagically detect if the coupon was for shipping and adjust your shipping totals for you.

Enjoy!!

Etsy importing now even faster!

Hey all - we’ve released a big improvement to the Etsy importer this morning: you’ll now find that you can select a date range to import from which should speed up your importing time considerably.

As we have a number of improvements released with this change (more about that later!), your first import will be a backdated one so it will look a little something like this:

However, the next time you import you’ll find you have some shiny new date range options to choose from, like this:

The importer will remember the last time you updated your data and will always preset your start date accordingly.

Enjoy!

New stuff: Expense Filtering

We’ve just released the ability to filter and search your Expenses to help with your tax season.

Now you can filter your expenses by year or month, filter out certain expenses by type or even look for that elusive expense you’re trying to find via the free text search box.

The graph now plays nicely together with the filter so you can visualise your applied filter. We’ve updated the print style for this page so you can print the page without the header, footer or sidebar. We’ve also tweaked the export so it now takes into consideration the current filter applied. So if you need to export your expenses for 2010 then you can by setting the date filter to 2010 and hitting the export button - it’s that simple.

Craftybase now supports multiple Etsy stores!

Hi all - we released a little update that will make Etsy sellers that have more than one store very happy: you can now connect as many accounts as you like to Craftybase. All sales, listings and purchases will be marked with which store they are linked to as well - so you can now see which of your stores is performing the best.
We’ve got lots of features lined up for the coming months - most of these are directly based on suggestions we’ve so far received: so if you have an idea for the site you’d like us to consider, please get in touch - we’d love to hear from you!

Server Migration

We will be moving Craftybase over to a new server in the coming days. This is due to our provider upgrading their facilities to handle IPv6 which is coming into effect in the next year or so.

The upshot? Nothing should change. There might be a slight increase in performance with the site in that we will be migrating to new state-of-the-art servers, but as a whole we’re expecting everything to act and work as normal.

However, in preparation for this have to do some maintenance on the site so expect some intermittent down time or possibly some DNS resolving issues after the move. We will try to keep these to a minimum and will try to give warning every step of the way.

We will keep this blog updated and any happenings going on at twitter

New stuff: Shipping and Item Sale Quantities

Based on feedback, today we released an update to Craftybase to introduce two new fields to sales: Shipping Charged and Item Price.

These new fields should give you much more visibility on how much you have charged for each item in your sale, and also let you track exactly how much you charged for shipping.

Etsy shopkeepers will find that these new fields will display as 0.00 initially - on your next Etsy import, these columns will be automagically populated for you for all of your historical data. The Add Sales form has also been modified to allow entry of the new fields for manually entered sales.

Manufacture and Sale Quantities

We’re introducing a slight change to the what quantities are adjusted in craftybase. Essentially you will find a new field whilst editing a project called: Sales Batch Quantity.

A Sales Batch Quantity is the quantity you wish to decrease your Stock by whenever you make a sale. So if you sell soap in lots of 2 bars, then each sale will decrease your Stock by 2.

This change has come about as a few of our users noticed that when adding a Make Log, the Stock would only increment by the quantity made and not the batch quantity. This was because we designed craftybase with the idea that what you make is what you sell - when in fact this is not the way everyone works.

Say you make soap, and you make a minimum of 8 soap bars each time. If you make 2 lots of this batch then craftybase would increment your stock count by 2, as we assumed that the batch made would be sold as a whole unit. However, this will change and your stock will increment by 16 as we are now counting the individual units in your inventory independently of your sales (note: the example above started at -2 in stock).

For some, you won’t notice this change as the defaults mean the site runs the same way just as before. But for those of you that work in this way then we hope this change will help you keep better track of your inventory stock on hand and help you manage your production workflow better.

Contact filters

This morning we released a small change to viewing and filtering contacts.

We noticed that the contact list was getting quite long for some and thought that being able to filter by letter might help ease some of the page congestion.

We’ll be watching the contacts page and investigating if this sort of filter will be useful for other pages. If you have any other suggestions for filtering you would like to see in Craftybase, please let us know in our Suggestions Forum!

Expense Breakdown Reports

Last week we released the first of our reporting features on the site: the Project Expense Breakdown Report. This report shows you the percentage that you spend on each of your expense categories, so you can see at a glance what the biggest costs are for you per item you make. The report features a pie chart to show this information graphically, as well as a tabular breakdown of all expense totals for the project so far.

You can access your project reports by navigating you your project summary page, then clicking on the Pie Chart logo under your Expenses tally section.

If you have any other suggestions for reports you would like to see in Craftybase, please let us know in our Suggestions Forum!
